Luggage, Groups and Vehicle Choice: Getting the Booking Right

A practical guide to matching passengers, cases and child seats to the right chauffeur vehicle, with capacity tables and booking notes.

How many cases actually fit, when a people carrier is the only correct answer, and how to specify a chauffeur booking so nothing goes wrong at the kerb.

The one problem a chauffeur genuinely cannot fix on the day is a vehicle that is too small. Everything else — a delayed flight, a changed venue, an extra stop — is solvable at short notice. Luggage is physics. This guide sets out honestly what fits in each vehicle, where the awkward cases are, and how to specify a booking so the car that turns up is the right one. It is the least glamorous piece of planning in chauffeur travel and by some distance the most useful.

The honest capacity table

Capacity claims in this industry are optimistic. The figures below are what genuinely works with passengers seated comfortably, rather than the theoretical maximum with the rear seats fully compromised.

Realistic comfortable capacity. Golf bags, ski carriers and pushchairs should always be declared.

The four-passenger trap

The single most common booking error is four adults with hold luggage in an executive car. On paper the seats exist; in practice the boot does not, and the journey becomes a compromise with cases across laps.

Our rule is straightforward: four or more passengers with hold luggage means the V-Class. If you are four passengers with hand baggage only — a business group heading to a meeting — the executive car is fine and often preferable.

Awkward items that need declaring

Golf bags are the classic. A single set fits an executive car comfortably; four sets and four passengers is a V-Class job or a two-car arrangement, and there is no arguing with the geometry.

Skis, snowboards, cellos and camera cases are the others we see regularly. Production work in particular arrives with flight cases that are heavier and squarer than any suitcase, which is why we ask for a kit list rather than a passenger count on shoot bookings.

Pushchairs vary enormously. A compact fold is a non-issue; a full travel system with a carrycot occupies the space of two large cases. Tell us the model if you are unsure and we will check.

Child seats and family travel

Child seats are provided on request and must be requested at booking, not on the morning. We need the child's age and approximate weight to fit the correct stage, and fitting takes a few minutes at the start of the journey.

For families flying, remember that the seat may need to travel with you. If it does, it occupies luggage space at the airport end and we plan the return vehicle accordingly.

Our silver Mercedes-Benz V-Class is a luxury MPV seating up to 7 passengers with generous luggage space, suited to executive groups, airport transfers, weddings and events.

Groups of eight to thirteen are the interesting middle ground. A single minibus is cheaper; two chauffeur-driven vehicles are considerably better, because the party arrives together at the door rather than filing off a step.

Our silver Mercedes-Benz V-Class is a luxury MPV seating up to 7 passengers with generous luggage space, suited to executive groups, airport transfers, weddings and events. For a straightforward airport run where cost is the priority, one larger vehicle is the sensible answer and we will tell you so.

How to specify a booking so nothing goes wrong

Give us four numbers: passengers, large cases, cabin bags, and any awkward items. That is enough to allocate correctly in almost every case, and it takes ten seconds to write.

Then tell us the shape of the journey — whether the car waits, whether there are intermediate stops, and whether the party splits at any point. Groups that split mid-journey are the second most common cause of a vehicle mismatch, and it is entirely avoidable with one sentence at booking.

How many suitcases fit in an executive chauffeur car?

Comfortably two to three large cases with three passengers, or three to four with two passengers. Beyond that the Mercedes-Benz V-Class is the correct vehicle.

Can you provide child seats?

Yes, on request at the time of booking. We need the child's age and approximate weight to fit the correct stage, and we allow a few extra minutes at collection to fit it properly.

What if my group is ten people?

We would normally propose two chauffeur-driven vehicles, which keeps the party arriving together and preserves luggage space. For a purely functional airport run, a single larger vehicle may be more economical and we will say so.

Do I need to declare golf clubs or skis?

Always. They change the vehicle allocation more than an extra passenger does, and they are the one thing that cannot be resolved at the kerb on the day.
