Executive Travel Planner: Ground Transport Checklist

An executive travel planner for PAs and travel bookers: what to collect, how to sequence meetings and flights, and how to plan ground transport that holds up.

A practical planner for arranging executive ground transport: the details to collect, how to sequence a day of meetings, airports and contingencies.

A good executive travel plan starts with the fixed points, the flights, trains and meeting times, and fits the ground transport around them with a realistic margin at every step. For the person arranging it, usually a PA or travel booker, the aim is a plan where nothing depends on luck: the car is confirmed in writing, the driver knows every address and the traveller knows who is meeting them and where. This planner sets out what to collect, how to sequence the day and what to do when something moves.

Collect the details first

Before booking any car, gather the traveller's name and mobile number, flight or train numbers, every address in the order they will be visited, meeting start and likely finish times, number of passengers and luggage. Missing details cause more problems on the day than traffic does.

Add anything personal that affects the journey: whether the traveller wants to work in the car, needs a quiet cabin for calls, or has mobility needs.

Sequencing a day of meetings

Build the day backwards from the fixed commitments. Allow margin between meetings rather than scheduling them to the minute, because a meeting that overruns by a quarter of an hour should not wreck the rest of the day. If there are several stops, day hire with the car waiting is usually simpler and more reliable than a series of separate transfers.

Share the final running order with the chauffeur and the traveller, so both are working from the same plan.

Airports and stations

For flights, give the flight number so the return can be tracked, and agree the meeting point. We meet arriving travellers inside the terminal with a name board, and a waiting allowance after landing is included in the quote. For trains, agree which station exit the car will use, since large stations have several.

Early departures and late arrivals are normal in executive travel; the service is available 24 hours when pre-booked.

Planning for change

Plans will move. Agree one contact for changes, keep the chauffeur's number with the traveller, and confirm how changes on the day are handled and charged. A fixed written quote before the day means the only open questions are the ones you choose to leave open.

If a meeting overruns, the chauffeur waits within the booking; if a flight is delayed, the tracking handles it without anyone needing to call.

Choosing the car

Our silver Mercedes-Benz V-Class is a luxury MPV seating up to 7 passengers with generous luggage space, suited to executive groups, airport transfers, weddings and events. We are based in Knaresborough and cover Harrogate, York and the surrounding area, with longer executive journeys pre-booked on request.

After the trip

A quick review after each trip improves the next one. Note what worked, what ran late and any preference the traveller mentioned, such as a favourite pickup point or a preferred car. Pass those notes to the chauffeur with the next booking. Over a few trips, the plan becomes almost automatic: the same reliable timings, the same meeting points and fewer questions for the traveller. That is the real aim of an executive travel plan, a journey the traveller barely has to think about from the first pickup to the final drop-off at home.

What should an executive travel plan include?

Traveller contact details, flight or train numbers, every address in order, meeting times, passengers and luggage, and any preferences or access needs.

Is day hire better than separate transfers for meetings?

Usually, when there are several stops or uncertain finish times. The car waits between meetings and the price is fixed in advance.

Do you meet executives at the airport?

Yes. We track the flight and meet the traveller inside the terminal with a name board.

Can plans change on the day?

Yes. Agree one contact for changes; overruns are handled within the booking and delayed flights through tracking.
